Tacoma Food Co-op Board Meeting

In Attendance: Amber, Casandra, Molly, Libby, Michelle & Kevin (guest)
Not in attendance: John, Anders, David, Corrinne

UPDATES:
Marketing:
Amber has been meeting with Ariel recently and she is working on several things during the next 6 weeks while she is still in the class:
1) Two pamphlets for vendors and partners
2) Videos for the website
a. Ideas: A series of short videos instead of one long one and maybe split into videos for current members and for general information as well:
b. How can I get involve d?
c. What is a food coop?
d. Hearing from local farmers about their thoughts on a coop
e. What is happening with the Neighborhood Market?
f. FAQs
g. As we add producers, have a little introduction about each one
h. Interviews with members: some seasoned coop members and some new ones
3) Outline for a newsletter

Survey:
We did not get the most recent version of the survey. We would like to get that data ASAP, so would like John to get the newest version of the survey from the student at UWT and send it to us.

Letter of Intent:
John was supposed to get it from John Loesch today and he will send it to us ASAP

Food on Film:
We need some of us to be there on February 10th beginning around 5:30 to talk to prospective members – Libby, Casandra, Molly

Phone Number:
Libby got us on a waiting list to get a Google phone number

Greater Tacoma Community Foundation Grant Workshop:
Can one or more of us go on Feb. 26th at 10-1130, 1-230, 3-430?
~ Because of her role on the Board, Corrinne should go or find someone to go in her place
~ Anyone else who can go is bonus – please go

Miscellaneous:
In our blog we should put:
Links to various sources of information:
~ Have trailers for each Food on Film movie
~ Links to things like the CBS

Recommendations:
~ Sign up for ComFood list serv through Tufts University because there is a lot of good information
~ There is a CBS program coming up next week that we might want to watch (ask Libby for more information)

NEW WEBSITE:
The new website is now live.

Kevin gave us a “tour” of all the information that can be found on the website and the back end which we will be able to use to edit the site once we each get an account from Kevin
~ Using the back end is how we will add things like events (click on the pencil to edit or the X to delete)
~ We can add the minutes (we could put them in the Description section of each meeting in the events calendar and can also write a blog entry with a link to the meeting event with the minutes)


Other things we want to add to the website:
~ Link to our Facebook page
~ Link to membership PDF and Paypal
~ Comments on blog section
~ Make the description fields rich text format so they can bullets and whatnot
~ Someplace where we can put documents where people can download them (e.g., membership forms, vendor guides, etc.) – maybe a Resources Page when we have events that need them (like the Summer Benefit)
~ Put a link for each Board member bio to his or her email address (Kevin will create a TFC email address for each of us, for example, libby@tacomafoodcoop.com, and will send us that with a password to get us access to the back end so we can edit the website)
~ When we have more information (e.g., letter of intent, photos of the store, timeline, etc.) about the store opening, we can create a new page and put all that information there. For now we could put a simple statement about our intent and the address of the Neighborhood Market and approximately opening date.


BLOGGING:
~ Can edit the blog entries that are up there
~ Only Board members with accounts will be able to post blog entries, but once the Comments section is active (in about a week or two), everyone who wants to will be able to comment, but we will be able to delete the ones that are inappropriate or spam or whatever
~ After each board meeting, one of us will be assigned to post on the blog with a link to the meeting minutes (which we put in the description section in the meeting page on the calendar section)
~ We should probably post on the blog a couple times a week
~ Our blog postings will automatically get re-published in other places (e.g., feedtacoma.com) so keep this in mind when writing then and provide links to things that re-direct people back to our website

To Do Immediately on Website:
Update event information for the Food on Film event for next week (Michelle)
Post meeting minutes (Michelle)
Blog entry pointing to the meeting minutes (Michelle)
Blog entry on Monday pointing to Food on Film event (Libby)
Post Goals and Roles in appropriate places (Libby)

Communication:
Amber will send out the Goals for 2010 and Board roles and so forth to all our members
Casandra will send out an email to everyone on our email distribution list about the new website being live
